Glossary

Academic Standing: Refers to the student’s Satisfactory Academic Progress (SAP) standing at the institution.
 
Academic Standing Tab: Located on the Student Page, it includes a complete history of the student’s Academic Standing at the institution.
 
Active Population: The list of currently enrolled students on a given date. The Active Student Report is located in Reports>Students>Active
 
Active Student: Refers to someone currently enrolled at the institution
Activity: Any contact with the prospective student or student that is recorded in PCM under the “Activities” section. Activities are located on Lead Pages and Student Pages.
 
Activity Tab: Located on the Student Page, it is a complete history of all communication the institution has had with the student, including when they were a lead. It includes the name of the employee that had the contact, the date and time of the contact, and the type of contact with the student.
 
Canceled Student: Refers to someone who was once enrolled at the institution but decided not to start within the drop/add period. Canceled students are not charged tuition and are treated as a New Student upon return to the institution.
 
Checklists Tab: Located on the Student Page, it stores the list of required steps and documents a lead must complete in order to enroll online.
 
Class Section: A label given to a course that is run in a particular term, quarter, or semester. The Class Section includes a Course Number, Class Section number, and dates and times of class meetings/sessions.
 
Course Defaults: Located under the “Academics” Tab; includes a complete listing of all classes offered at the institution. Each course includes the number of credit hours, contact hours, attendance thresholds, grading scales, course mappings, syllabi, booklist, and course day/times.
 
Criminal Tab: Located on the Student Page, it displays the date the student’s background check was requested and the date it was received by the institution.
 
Documents Tab: Located on the Student Page, it houses all of the electronic documents in the student’s file. This is where documents can be uploaded as needed.
 
Enrollments Tab: Located on the Student Page, it displays a list of all of the courses in the student’s current Program Plan. It also shows the classes they have previously completed at the institution in addition to the classes they are scheduled for in the future. You can also access the following for the student in the Enrollments Tab: Gradebooks, Unofficial Transcript, Course Bypass Form, and Credit Transfer.
 
Externship Tab: Located on the Student Page, it provides a list of Externships the student has been enrolled in, the number of hours the student has completed at the externship site, and the number of hours the student is required to complete.
 
Employment Tab: Located on the Student Page, it includes the student’s job title, employer name, and if it is a Field Related position.
 
First Admit: The date of the first Admit Program Action for the student at the institution.
 
Last Admit: The most recent date the student had an Admit Program Action at the institution.
 
Last Date of Attendance: The most recent class that the student attended a course.
 
Lead: a prospective student that is interested in learning more information about the institution
 
Lead Page: Refers to the information recorded under a prospective student’s name in PCM. The Lead Page includes demographic data, the interested program, lead source, and activities associated with the lead.
 
Lead Start: The Lead Start is located both on the Lead Page and the Student Page. It contains a history of each time the student was scheduled to begin classes at the institution and entered on the Start List.
 
Lead Starts Tab: Located on the Student Page, it houses a complete history of each time and Admissions Representative added the Lead to the Start List.
 
Leave of Absence: Students who are on Leave of Absence are still counted in the Active student population. They must return to school within 180 days or they will be withdrawn.
 
Licensure Tab: Located on the Student Page, it records the type of license, the date the student received the license, the date the student took the licensing exam, and notes if the license is provisional.
 
Medical Tab: Located on the Student Page, it includes all of the immunizations and drug screen results required for Admissions and/or clinicals and externships.
 
New Lead: A prospective student that has requested information on the institution for the first time.
 
Program: A set of required courses needed to earn a diploma, certificate, or degree at the institution
 
Program Action: A Program Action indicates an enrolled student’s status at the institution. The Program Action tab can be edited from the Program Plan Page and it is displayed on both the Lead Page and the Student Page. Only students assigned as Student ID Number can have Program Actions.
 
Program Activity Tab: Located on the Student Page, it includes a complete history of the student’s Program Actions, which are the enrollment statuses at the institutions.
 
Program Plan: The Program Plan includes a list of required courses that a student must complete in order to be considered a graduate of the program. The Program Plan is located on the Program Plan Page.
 
Program Plan Page: Includes the student’s active Program Plan.
 
Program Plan Template: Program Plan Templates are the defaults for each for each program at the institution. They specify the order the courses are generally taken. Each new student must be enrolled in a Program Plan.
 
Projected Grade Date: The expected graduation date of the student based on their Active Program Plan. This date could fluctuate if students add/drop classes in terms or if they have to repeat classes. When the Program Plan is adjusted, the Projected Grad Date is automatically adjusted also.
 
Restart Student: A student that attempted or earned credit at the institution, withdrew from the institution, and is returning.
 
Start Date: The date that new classes or a new term begins at the institution.

Start List: The Start List is an Admissions tool that includes a list of Leads that are scheduled to
begin classes on a given Start Date. Located under the “Admissions Tab.”
 
Student Page: Refers to the data record for someone who has been assigned a Student ID number.
 
Student Profile Tab: Located on the Student Page, it includes all of the student’s Identification Data, Address/Phone/Email, Education History, and Demographics.
 
Student Grade Reports: Reports generated each term for each student that include cumulative GPA, quarter GPA, and quarter credits attempted and earned
 
Test Scores Tab: Located on the Student Page, it houses a history of all entrance exams attempted by the lead. It displays the date the lead took the exam, the score they earned, if they passed or failed, and notes about the exam.
 
Web Lead: A data record for a prospective student that has been submitted from the Call to Contact page on the institution’s webpage
 
Widget: A widget is a minimized report that you frequently use in your department. Widgets are found on the Dashboard, under the “Home” tab.
 
Withdrawn Student: Refers to a student that has ceased enrollment at the institution. The Last Date of Attendance would be beyond the drop/add period and the student would be charged tuition. A Withdraw Program Action removes the student from the Active Population.
