How to Access Your Email and Text Templates from the Home Tab
- Email and Text Templates can be created and stored for communications to students that are regularly used. The Templates are located under the
- Navigate to Home > Comm Templates

- Click Add Template

- Fill in the form with the following template information:

-Template Name - Name the template (ie: Payment Reminder Email, Check-In Text, etc.)
-School - Choose a campus
-Type - Select email or text template
-Subject - Add a Subject line exactly as you’d like it to appear in the Email
-Dynamic Fields - ##FirstName##, ##LastName##, ##Program##, & ##CurrentDate##. Input these to have the system auto-fill with the student’s personal information.
-Body - Input the message as you’d like it to appear in the email. Dynamic fields entered here will input the corresponding information for the student. - Click Save.
Note: The ##Program## dynamic field pulls it's data from the program entered by admissions (see below).

Your new template will be housed in the communication template bank:

Email templates have a 4,000 character limit. Any template over 4,000 characters will receive an error message. Also at this time, no images can be added to the email signature or body of the template.
Important Note!!!
The following texts are considered special text: ‘, @, >, “ “, &, and in your saved template each will have an embedded code. The student or employee’s email or text will appear as you intended the message to be, however the embedded code will also appear within the activities section on the student or lead page.
For example: The apostrophe embedded code may appear like this in the saved template or within the activities section “Kristen&>23/s” The “&23/s” is the embedded code for the special character apostrophe
How to Access your Email and Text Templates on the Student Page
- Your Email and Text templates can then be accessed by going to any Student Page > Send Message.

2. To send to multiple recipients, just type the name of the students in the Recipients Box and select the Template you’d like to use.

3. Click Send. The messages will be stored under the Activities section on each Student’s Page.
