The National Institution for Education Statistics asks students to report on their ethnicity and race which is also reported to IPEDS. VIAS has many reporting options to accomplish this requirement.
The NCES asks for the question to be reported in a two part question: Are you Hispanic or Latino? If the answer is no, select one or more of the following race choices: American Indian or Alaska Native, Asian, Black or African American, Native Hawaiian or Other Pacific Islander, or White. If students refuse to report ethnicity or race, VIAS has an unknown option.
VIAS accommodates this requirement within the Admissions filter. Once the a potential start has been imported and made a student, a Student Service team member will need to enter the Admissions page and add this information to the student profile.
How to add ethnicity and race student information
1. Click the students program name and start date under the Admissions title within the orange bar.
2. Scroll down to the bottom of the page and click Edit Student.
3. Find the Demographics section.
4. Answer the Ethnicity question. Is the student Hispanic or Latino? If the answer is yes, click save at the bottom of the admissions page. If the student is NOT Hispanic or Latino, choose the student's race. If the student chooses not to release their preference in race, choose unknown.
If ethnicity and race is NOT entered within the student profile by an intuition, VIAS will automatically default the student's ethnicity and race
Race Reporting
Several reports include the students' race and ethnicity within the data. Finding your preference report for your specific purpose or reasoning is up to your institution.
IPEDS by Race Report
The by Race report identifies race by gender associated by the students educational history of first time freshman or transferred in from another institution.
1. Go to Reports > IPEDS > by Race.

For the IPEDS by Race report to be accurate, the student's educational history data must also be entered within the Admissions filter above the demographics section.
Master Report
The Master report lists all active students within the institution. The main report lists student number, time plan, program, school email, cell phone number, first admit date at the institution, last admit date within the student's program actions, the student's last date of attendance, and the student's projected graduation date. Once the report is exported into Excel the student's race will be part of the data.
1. Go to Reports > Students > Master
2. Choose the school and campus.
3. Choose the program you want to focus on or leave it blank to search all programs.
4. Choose a program action status. All active students would have an admitted program action.
5. Type in a date range.
6. Click Search.
The Active Report
The Active report includes all active students within an institution on a specified date. Users have the option to filter by multiple campuses, programs, groups, or cohorts. Once the active report is generated, it can be exported to Excel where the student's ethnicity and race data will be visible.
IPEDS Active on Date Report
The Active on Date report will show all active students on a given date within the institution. The report includes the following data: sex, race and ethnicity, DOB, age, method the curriculum is delivered, program, start status from the start list, start term, home state, first time freshman, first admit of institution, high school grad year, and immigration status. This report can also be exported to Excel.
1. Go to Reports > IPEDS > Active on Date.
2. Choose campus.
3. Type in date.

IPEDS Admitted Report
The Admitted report shows all admitted students within a certain date range within the institution. The report is very similar to the Active on Date report data. This report can also be exported to Excel.
1. Go to Reports > IPEDS > Admitted.
2 Choose the campus.
3. Type the start and end date range.
4. Click Search.
