Student Portal Overview

The student portal provides a centralized hub for managing academic and financial information. It is divided into three main tabs:

  • Home – Displays the academic calendar and important dates, including assignment deadlines.

  • Class – Lists current and upcoming course enrollments. Students can access their gradebook, syllabus, and course resources.

  • Finances – Shows transaction history, upcoming funding, and payment plans.

With an intuitive layout, the portal ensures students can easily track their academic progress and financial status in one place.

Student Portal Creation 

Upon account creation, a student's personal email is automatically set as their Student Portal username. When staff import a student’s lead or initiate their account, the system generates an email to the student’s personal email address. This email includes a temporary password and instructions to update their password upon first login, ensuring secure access to the portal.

 

Student Portal accounts do not expire, even after the student has graduated from the institution.



Institutions will need to copy the following information to their own student portal user manual.

Initial Login:

  1. Select your campus if required.

  2. Enter your username (your personal email address).

  3. Click Next.

  4. Enter the temporary password provided in your welcome email.

  5. Click Login.

Password Reset (First Login or After a Reset):

  1. Re-enter your temporary or previous password.

  2. Create a new password and confirm it by entering it twice.

  3. Click Save.

Your Student Portal account is now successfully set up.



Student Portal Home Page

 

Calendar 

The Student Portal Home Page displays the current academic calendar. Once enrolled in courses, students will also see assignment due dates for each class, as recorded in the Gradebook.

 

Clicking on the assignment will bring up the more details about the assignment.

News Feed 

Located at the top of the Student Portal Home Page, the News Feed section provides institution-wide announcements, events, and notifications.



My Account Tab 

This section contains the student's demographic and contact information. Students should verify that their information is accurate. Any updates to contact details must be submitted to the appropriate institutional representative.

 

Classes Tab

Students can access their current course enrollments and, depending on institutional policies, view future course registrations.

Within this tab, students can:

  • View and print their unofficial transcript and current schedule in two different formats.

  • Access and take instructor-created tests, as well as view test scores and a history of recently completed tests and the grades  received.

  • Click on a Course Number to access the Gradebook, syllabus, and course resources.

Student View Gradebook

Students can click on their Course Number to view their gradebook for that class, which is updated in real-time. The course syllabus,  resources, and handouts are all accessible here.

 

Gradebook

The Gradebook organizes assignments into categorized sections, listing items by due date. Once instructors enter scores, students will see their grades displayed as a fraction of the total possible points. Additionally, each graded item indicates its weight in the overall course category distribution.

  This symbol indicates that the gradebook item is excluded from the student’s running grade.  The item’s grade will be listed within the gradebook, but is NOT calculated within the running grade. 

 

Running Grade

The running grade is displayed in the top right corner.  The running grade updates in real time as the instructor enters the grade for each item’s category.  If students disagree with the calculated running grade, the instructor should be notified first. 

Grade Reports by Term

Students are able to print grade reports for the term by clicking on the blue, Print Grades.

Finances Tab

The Finances Tab offers students three key pieces of information about their account:

  1. Transaction History - This section displays all transactions (charges and funding/payments) that have been posted to the student's ledger.
  2. Upcoming Funding - This section shows all anticipated funding that appears on the student ledger.
  3. Payment Schedule - This section displays the student’s payment plan schedule. All outstanding and future payments will be listed here.  Payments already made will appear in the Transaction History section.

While a ‘Make Payment’ button will be displayed at the bottom of the screen, this feature in the Student Portal is optional. For a student to use this feature, the institution must integrate an Authorize.Net account, which incurs an additional cost. The institution will need to set up their Authorize.Net account and then contact VIAS to implement the integration.

Email Tab

The email tab is under construction. This tab does not provide a direct link to the institution student email account. 



Log Out

Students should Log Out every time they are finished viewing their Student Portal. They can log out by clicking the Log Out button in the upper right-hand corner of the Student Portal.
