VIAS Cohorts

Grouping students into cohorts is a popular educational practice. Cohorts take the majority of their class work together with a predetermined schedule of courses.

 VIAS cohort feature provides institutions a way to admit students into a cohort based on the student’s program and start. Many reports can be filtered to specific cohorts so institutions can track the cohort’s progress over time.  

VIAS uses terms to organize all pieces of data within our information system.  A term is a period of time for institutions to map courses, attendance, financial aid, program plans, and etc.  It is not advised to use terms to group students. Using terms to group students can cause inefficiencies across several departments. Using VIAS’s cohort feature could increase efficiency  and raise productivity for all roles within the institution.

The student’s assigned cohort is listed within the program activity tab within the student service page of the student profile. 

How to Add Cohorts to Programs 

  1. Go to Academics > Programs.  Click on Programs. 

2. Click on the Program Code to open the program details. 

3. To the right of the program details, click on View Cohorts

 

4. These are the cohorts for this program. Click on Add Cohort. 

  • Click on the cohort number to open the cohort details if needed. 

5. Choose the school, program, name the cohort, and list the start date. Click Save

6. Continue to add cohorts for each program. 

 

How to admit Students into a Cohort 

  1. You can admit a student into a cohort or change a student’s cohort by clicking Manage Program Activity. 

2. Click on the Cohort Actions Tab. 

  • See the student’s cohort history within the cohort action tab. 

3. Click on Change Cohort. 

 

A.   Choose the student’s cohort from the drop down box. 
B.   Choose change within the action box.
C.   The effective date should be the same as the start of the term. 
D.   Type a note in the Action Description box.  This is optional. 
E.   Click Save Action

 

Users can also admit students into a cohort when admitting the student into his/her program. 

  1. Click on add program activity. 
  2. Select admit as your program action.
  3. At the bottom of the program action screen, users will see the choice of adding a cohort.
  4. Click Save Action. 

Cohorts Reports 

VIAS creates a list of all students within the program’s cohorts. 

  1. Go to Students > Program Plans > Cohorts. Click on Cohorts. 

2. Below is an example of students within the listed program cohort.  The cohort table consists of the student’s number, name, program, cohort, and cohort start. This table can be exported to Excel. 

The following reports can be filtered by a specific cohorts: 

  1. Active
  2. Program Action
  3. Program Enrollment by Program
  4. Employment
  5. Licensure
  6. Term Grade Report
