Entering Program Action For A Student

Program Actions indicate a student’s status at the school. Program Actions are integral in providing accurate reporting for many reports and functions such as the Active Student List, Program Actions Report, Student Status Forms, and much more.

Note: Program Actions can only be entered for Students that have a Student ID #.

There are 3 types of program actions: 

  1. Begin Active population program status
    1. Admitted
  2. End Active population program status
    1. Graduated
    2. Withdrawn
    3. Cancel
    4. LOA
  3. Data Entry or placeholder statuses used for the program action report to help organize data:
    1. Reentry
    2. Transfer
    3. Returning from LOA
    4. Returning from WD
    5. Future start
    6. No Start
    7. Reverse start

Entering a Program Action: 

  1. On a Student's Profile, click on 'Manage Program Activity' located in the Program Activity box.

  2. Click on 'Add Program Action' Addprogramaction

  3. Complete the supplied form (see below for information on each field)

    Depending on the chosen action, some (or all of) the following fields will appear in the 'Add Program Action' form:

    1. School - Choose the School or Campus for this action
    2. Program - Choose the program
    3. Action - Choose which action is needed.  The actions that will be used most often are:
      1. Admitted
      2. Withdrawn
      3. Cancel
      4. Graduated
      5. **See below for a full list of Program Actions and information on their use
    4. Start - Select the term the student will begin in
    5. Effective Date - ALWAYS enter the first day of the term chosen in the Start field.
    6. Admission Type - Choose from the following Admission Types
      1. Audit - Use for Graduated students who are auditing a course
      2. Bridge - Use for returning Graduated students
      3. NewAdmissions - Use for all new students
      4. ReAdmit - Use for returning students
      5. Transfer - Use when a current/active student is transferring programs
    7. Program Plan - Choose the student's program plan from the drop-down menu
    8. Time Plan - Choose a time plan if applicable
    9. Cohort - Choose a cohort if applicable
  4. Click 'Save Action' after completing the form.

    The Student’s Program Action has now been saved. It is viewable both on the Program Plan Page and the Student Page:

A program plan must have been created and saved before the program plan can be added when entering the admit program action.  

If assigning students to cohorts, the cohort must be assigned at the time of adding an admit program action.  Cohorts must be created ahead of time and added before saving the admit program action. 

 

There are 5 admissions types:

  1. Audit - Used for:
    1. Students who are enrolled but are retaking a course at no charge or credit
    2. Graduates who need continuing hours at no charge or credit.
  2. Bridge - Used for returning graduates earning a higher education award
  3. New Admissions - Used for new students of the institution or a new student in a new program
  4. Re-Admit - Used for previously withdrawn students returning to the institution
  5. Transfer. - Used when when a current/active student is transferring programs

Program actions for Service Hours: 

Many institutions have service programs that have students audit courses.  Intuitions will create a No Program or NP-Audit program. Use the program action Admitted for the NP-Audit.  Once student has completed audit hours, use the ending action of Completed-NP. All hours are recorded with documentation in the detailed attendance report.
