Create the section shell, then add clinical/lab class days and times along with groups and the clinical/lab site.
- Go to the Academics Tab > Sections
Enter the following information about the Class Section:
- The Term the Section will run.
- The Enter the Start Date, which is always the first day of the term.
- Enter the # of actual class sessions (number of times attendance will be marked) and the following number of students allowed in the class
- Be sure to select if it’s a clock hour class, online class or independent study.
- Mark “Online Class” if the class will be needed on the schools LMS
- Click Save.
The Section has now been created. You need to go to the Academics Tab > Sections to complete the setup for the section.
How to Make a Section for Clinical/Labs Dates
After the user has created the section:
- Go to the section.
- Click Add Clinical/Lab Dates.
- Days and Times - choose the days of the week and class times using the drop down menu.
- Choose the instructor using the drop down menu under the days and times.
- Type of class: Lab or clinical
- room # - if applicable
- # session - number of attendance sessions for the day and time.
- break minutes - Type in the break in minutes if needed
- groups - Enter a group number based off the criteria below.
- If there is only 1 group leave the group field blank.
- If the roster needs to be divided into groups for the assigned day - assign the group the same number. For example the roster will be divided into groups for Monday and Wednesday for a clinical site. Monday and Wednesday would receive the SAME group number.
- If the roster is all going to the lab or clinical then each assign day would be assigned a different group number. For example all students are going to lab on Tuesday and Thursday. Tuesdays group number would be different than Thursday.
- start week - What week will the clinical/lab section begin? Start dates are arranged by each Monday of the term. Choose the Monday date of the week the class is going to start.
- # wks - How many weeks will the section run? Assign the number of Mondays and so on the section will run for the section.
- Assigned - should display a number once students have been assigned to clinical/lab groups.
- Max Assign - The maximum number of students per lab/clinical group.
- Clinical Site - Choose the business the clinical/lab group will visit. The site must be entered into the business bank.
- Orientation Notes - The user can add a note to students about clinical/lab orientation. This note will appear on the official class schedule.
Complete this process for each row or each day and time.
4. Click Save Dates/Times.
- Users will see the section meeting times populate within the section detail screen.
- Clinical/Lab Class sections will populate on the student’s calendar view on the student portal.
- If adjustments in clinical/lab dates need to be made, these need to occur before attendance is entered.
How to Assign Students to Clinical/Lab Groups or Sites
After the clinical/lab class dates and times have been created, users can assign students to the clinical/lab groups and/or sites.
