How to Create Financial Aid Award Letters

Financial Aid Awards (also called Financial Aid Offers) can be created in VIAS to present to students. The financial information on Award Letters will pull directly onto the students ledger.

Creating a Financial Aid Award Letter


  1. Search for prospective Student using the student search magnifying glass
  2. Click FA link



3.   Select Add New Award


4.   Complete the provided template

    1. School Selection (This will only apply if you have multiple campuses)
    2. Select a Program Plan (Use for special circumstance students where a unique program plan has been created ie: restart, bridge and transfer students)
    3. Select a Start & Program (Use for a typical new student.  This option uses the program plan template created for the program and start selected.) 



After these 3 options are selected more fields will populate: 

  1. Admission Rep (Drop down with all Admissions Reps)
  2. FAC Assigned To (FA Rep that will be responsible for the File)
  3. FAC (Only check once Student has completed all requirements for FA)
  4. Dependency (Depending on which you select will auto-populate max unsub on FA Award Letter)
  5. EFC (EFC for Most current FAFSA)
  6. NSLDS
    1. Pell (Enter Current amount Student has used)
    2. Sub (Enter Current amount Student has used)
    3. Unsub (Enter Current amount Student has used)
  7. Waivers
    1. Credit Balance (Student wants to hold funds to cover future terms
    2. Book (Student does not want to use FA to cover Book cost)
  8. Award Finalized (Check once student signs off on Award Letter)
  9. Award Official (Check once student officially enrolls)

User will enter all the necessary information and click save. The Award letter will then be visible on the student profile. 

Note: The Award Official box will trigger the information to pull onto the students ledger.  Be sure to check for accuracy before checking this box.
