Withdrawing students from course sections at the program plan is VIAS's preferred method of choice. Withdrawing at the program plan creates a student status form that is uploaded within the student's document section.
When a student is officially withdrawn from a course at the program plan, the student will automatically receive a grade of W. The status of the section should read withdrawn on the enrollment grid. The withdrawn course section details will be shown in gray font. Here is an example of a student's enrollment grid that has officially been withdrawn from course sections.
Follow the steps below to withdraw the course section at the program plan:
1. Click on Manage Program Activity within the Program Activity Tab within a student's profile.
2. Click on the student's active program plan.
3. Under the program template, look for the term within the heading and to the right is the +/- enrollment button. Click the +/- enrollments to bring up this term's enrollments. The blue E = enrolled.
4. Use the drop down menu under the course section to choose withdraw for any and all course sections the student wishes to withdraw.
5. Click Save Enrollments. This will save the withdrawn status of each course section.
6. Now that the enrollment status has changed, the program plan will read a red W for the withdrawn course sections. See the example below:
7. Now the program plan changes will need to be saved. Scroll down to the bottom of the program plan and click the blue Save Changes button.
8. A student status change form will appear. It will list the change in enrollment for each course section. Type in the student's LDA on each course section.
9. Type in any additional Optional Notes about the student's change in enrollment.
10. Click the blue Save Plan Changes button.
A Student Status form will generate and be listed within the student's document section of the profile for future reference. A copy will be emailed to you and to FA. See example Student Status Form below.
